  1. Author & Submission Guidelines

This section is critical for maintaining academic standards and ensuring a smooth peer-review process. 

  • Formatting Requirements:
    • File Format: Typically MS Word (.docx) or LaTeX.
    • Layout: Double-column or single-column, A4 size.
    • Typography: Times New Roman, 10pt or 12pt font with single line spacing.
  • Submission Standards:
    • Page Limits: Commonly 5–8 pages for regular papers.
    • Plagiarism Policy: Total similarity must often be under 20% (some conferences require <10%), with no single source exceeding 1–5%.
  1. Presentation Guidelines

Outline technical expectations for different session formats to help speakers prepare. 

  • Keynote Presentations:
    • Time Allocation: Usually 40–45 minutes for presentation and 3–5 minutes for Q&A.
    • Slide Format: 16:9 aspect ratio is preferred for modern screens; use high-contrast colors (e.g., dark text on light background).
  • Oral Presentations:
    • Time Allocation: Usually 30–35 minutes for presentation and 3–5 minutes for Q&A.
    • Slide Format: 16:9 aspect ratio is preferred for modern screens; use high-contrast colors (e.g., dark text on light background).
  • Poster Presentations:
    • Dimensions: Standard sizes like A0 or A1 (portrait) or max 4ft x 3ft.
    • Design: 50% graphics/visuals; text should be legible from 3–4 feet away.
    • Materials: Inform presenters if pushpins or tapes will be provided at the venue. 
  1. International Travel & Visa Guidelines

Crucial for non-resident attendees to avoid travel disruptions. 

  • Visa Support: Detail the process for requesting an Official Invitation Letter. State that letters are usually only issued after successful registration and payment.
  • Passport Validity: Remind attendees that passports typically need at least 6 months validity from the travel date.
  • Accommodation: Suggest recommended hotels near the venue, ideally those with pre-negotiated conference rates
  1. Registration & Policy Guidelines
  • Cancellation Policy: Deadline for refunds (e.g., "Full refund before 90 days, 50% before 45 days, no refund thereafter").
  • Inclusions: Access to all sessions, conference kit, certificates, and specified meals.
