1. Registration and Payment

Registration for the Conference is confirmed only after full payment of the applicable fees.

Payment can be made via credit/debit card, online transfer, or other approved payment methods listed on the registration page.

All fees must be paid in full within the specified time period to secure participation.

Early-bird discounts are valid only if payment is received before the stated deadline. Late payments may result in standard rate charges.
2. Transfer and Substitution

A paid registration may be transferred to another individual from the same organization, provided written notice is submitted at least 14 days prior to the Conference.

Transfers to future editions of the Conference may be permitted at the organizer’s discretion and must be requested in writing.

Once transferred, registrations are non-refundable and non-reversible.
3. Cancellation and Refund Policy

Cancellations received more than 90 days before the event: Eligible for a full refund, minus an administrative fee of USD 100 (or equivalent).

Cancellations received between 90 and 45 days before the event: 50% of the registration fee will be refunded.

Cancellations received within 45 days of the event: No refunds will be issued.

Payments made for virtual participation, e-posters, or sponsorship packages are non-refundable.

In case of postponement due to unforeseen circumstances, registrations will automatically transfer to the rescheduled dates without refund.
4. Cancellation, Postponement & Force Majeure

The Conference reserves the right to cancel, postpone, or change the venue or format (including converting to a virtual event) due to circumstances beyond its control, including but not limited to natural disasters, political unrest, pandemics, strikes, or other force majeure events.

In such cases, all registrations will be automatically transferred to the new dates or virtual platform. Refunds will not be issued.

The Conference shall not be liable for any costs or losses incurred by participants, including travel, accommodation, or other personal expenses.
5. Liability and Personal Property

Attendees are responsible for their own safety, belongings, and personal property at all times during the Conference.

The Conference is not liable for any personal injury, loss, or damage to property that may occur during participation or travel related to the event.

The organizers assume no responsibility for opinions, advice, or information presented by speakers, sponsors, or delegates.
6. Photography, Filming & Media

By registering, participants consent to the use of photographs, audio, and video recordings taken during the Conference for promotional, educational, or archival purposes.

The Conference may use such media on websites, social platforms, publications, or other media without additional consent or compensation.
-
Personal photography or video recording during sessions is not permitted without prior written approval.
7. Data Protection & Communication

The Conference collects and processes personal data in accordance with its Privacy Policy.

By registering, participants consent to receive event updates, logistical details, and announcements related to current and future conferences.

Participants may opt out of promotional communications at any time by notifying the organizers via email.
8. Amendments to Terms

The Conference reserves the right to modify or update these Terms & Conditions at any time without prior notice.

Any updated version will be published on the official Conference website, and continued participation will constitute acceptance of the revised terms.
